Privacy Policy

Vibes Lifestyle (“Vibes,” “we,” “us,” or “our”) operates the Vibes Lifestyle health and fitness facility located in Texas and the Vibes Lifestyle mobile application (the “App”). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you visit our facility, use our App, book a consult, or interact with us in any way.

By using our services, you agree to the practices described in this policy. If you do not agree, please do not use our services.

Information We Collect

Information You Provide Directly

  • Contact information — name, email address, phone number, and any other details you submit when booking a consult or creating an account.
  • Account credentials — username and password for your Vibes Lifestyle App account.
  • Health and fitness data — body composition metrics from InBody 770 scans (body weight, muscle mass, body fat percentage, visceral fat level, hydration), nutrition goals, and progress photo records. This data is collected only with your consent as part of your coaching membership.
  • Activity data — classes attended, XP earned, skill tree progress, habit tracking inputs (nutrition, sleep, hydration), and in-app badge achievements.
  • Communications — messages sent between you and your coach through the App, and emails sent to management@vibesls.com.
  • Guest pass redemption data — see Section 5 for details on how we retain this information.

Information Collected Automatically

  • Device and usage data — device type, operating system, app version, IP address, and feature usage patterns within the App.
  • Session data — class booking history, check-in timestamps, and session attendance records.
  • Website data — pages visited on vibesls.com, referral source, and browser type, collected via standard server logs.

Information from Third Parties

  • Marketing partners — if you arrived through a Meta (Facebook/Instagram) ad or a partner landing page, we may receive your name, email, and phone number from that lead source.
  • Payment processors — we do not store your full payment card details. Payment is handled by our third-party processor; we receive only confirmation of payment and basic transaction metadata.

How We Use Your Information

We use the information we collect to:

  • Create and manage your Vibes Lifestyle App account and membership.
  • Deliver coaching services, including setting nutrition goals, reviewing InBody scan results, and tracking your progress through the Vibes System phases.
  • Process class bookings and send booking confirmations or reminders.
  • Operate the App’s gamification features — XP, leveling, skill tree, and badge system.
  • Communicate with you about your membership, schedule changes, facility announcements, and promotions.
  • Respond to consult requests and sales inquiries.
  • Improve our services, facility operations, and App features.
  • Prevent fraud, abuse, and unauthorized use of our Guest Pass program (see Section 5).
  • Comply with applicable laws and regulations.

Health and Fitness Data

Body composition data collected through InBody 770 scans and progress photos are sensitive by nature. We treat this data with heightened care:

  • Scan results and progress photos are accessible only to you and your assigned coach.
  • This data is never sold to third parties.
  • It is not shared with advertisers or marketing partners.
  • It is stored securely in our database (Supabase) with access controls that restrict visibility to authorized staff only.
  • You may request deletion of your body composition data at any time — see Section 7.

The Vibes Lifestyle App

The Vibes Lifestyle App is available to all members and is included with every membership tier. The App connects to the same secure database as our facility systems.

Data Stored in the App

Your App account contains your profile, XP history, class attendance, skill tree progress, coach messages, habit log entries, and InBody scan records. This data is tied to your account and is retained for the duration of your membership plus a reasonable post-membership period as described in Section 6.

Coach Dashboard Access

Your coach has access to a dedicated dashboard that displays your InBody history, nutrition goals, class attendance, and habit tracking data. This access is limited to your assigned coach and facility management. It is used solely to deliver personalized coaching.

Community Feed

The App includes a community feed where announcements and class updates are posted. Any content you submit to community features is visible to other members. Please do not post sensitive personal information in community areas.

Guest Pass Program and Abuse Prevention

Vibes Lifestyle offers one complimentary coached session (the “Guest Pass”) to first-time visitors. This offer is intended for individuals who have never previously attended a session at our facility.

To protect the integrity of this offer and ensure fairness to our paying members, we retain the following information from Guest Pass redemptions indefinitely:

  • Full name
  • Email address
  • Phone number
  • Date of attendance

This retained record allows us to identify and decline duplicate redemption attempts. If we detect an attempt to claim a Guest Pass more than once using different contact information, we reserve the right to decline the request and, if a paid session was used, charge the applicable drop-in rate.

Guest Pass redemption records are used exclusively for this abuse-prevention purpose and are not used for marketing without separate consent.

Data Retention

We retain your personal information for the following periods:

  • Active members — all data is retained for the duration of your membership.
  • Former members — core account and session records are retained for up to 3 years after membership ends, primarily for coaching continuity if you return and for legal/financial record-keeping.
  • InBody and progress photo data — retained for the same period as your account, unless you request earlier deletion (see Section 7).
  • Guest Pass records — retained indefinitely for abuse prevention purposes as described in Section 5.
  • Consult request submissions — retained for up to 2 years from the date of submission.
  • Financial transaction records — retained for 7 years as required by applicable tax and accounting regulations.

Your Rights and Account Deletion

Accessing and Correcting Your Data

You may request a copy of the personal data we hold about you, or ask us to correct inaccurate information, by contacting us at management@vibesls.com.

Deleting Your App Account

You can request deletion of your Vibes Lifestyle App account directly through the App. To do so:

  1. Open the Vibes Lifestyle App and sign in.
  2. Navigate to the Profile tab and select the Overview tab.
  3. Scroll to the bottom and tap Delete Account.
  4. Review the information presented and tap Submit Request to confirm.

Account deletion removes your profile, XP history, skill tree data, habit logs, coach messages, InBody scan records, and physical assessment data from our active systems. Deletion is processed within 10 business days of your request.

Please note the following exceptions:

  • Basic contact information (name, email address, and phone number) is retained by Vibes Lifestyle for legitimate business purposes, including membership history and CRM records, consistent with the retention periods described in Section 6.
  • Guest Pass redemption records (name, email, phone, date of visit) are retained even after account deletion for the abuse-prevention reasons described in Section 5.
  • Financial transaction records required for tax compliance are retained for the legally required period.
  • If you have an active paid membership, you must cancel your membership before your account deletion request can be fully processed.

You may also request account deletion by emailing management@vibesls.com from the address associated with your account. Include “Account Deletion Request” in the subject line.

Opting Out of Marketing

You may opt out of marketing emails at any time by clicking the unsubscribe link in any email or by contacting us directly. Opting out does not affect transactional messages related to your membership or sessions.

Sharing of Information

We do not sell your personal information. We may share your information only in the following circumstances:

  • Service providers — we use third-party vendors to operate our services, including our database host (Supabase), payment processor, and marketing partner (for lead management). These vendors are contractually obligated to protect your data and use it only as directed by us.
  • Marketing partner (Pancham / GoHighLevel) — if you submit a consult request or come in through a Meta ad campaign, your name, email, and phone number may be shared with our marketing agency for the purpose of following up on your inquiry. This data is used only for that purpose.
  • Legal requirements — we may disclose information if required to do so by law, court order, or governmental authority.
  • Business transfers — if Vibes Lifestyle is sold or merged, your data may be transferred as part of that transaction. You will be notified of any such change.
  • With your consent — for example, if you agree to be featured in a member spotlight on the website or App community feed.

Cookies and Website Tracking

Our website (vibesls.com) uses standard web server logs and may use cookies for basic functionality such as session management. We do not currently operate a cookie consent banner but will implement one if we add analytics or advertising tracking cookies.

If you arrive at our site through a Meta ad, Meta may place its own tracking pixel on the landing page. Meta’s data practices are governed by Meta’s Privacy Policy, not this policy.

Data Security

We take reasonable technical and organizational measures to protect your personal information, including:

  • Encrypted data transmission (HTTPS/TLS) across all web and App connections.
  • Row-level security policies on our database that restrict data access by role.
  • Access controls that limit coach dashboard visibility to your assigned coach.
  • Secure credential management — passwords are hashed and never stored in plain text.

No system is completely secure. If you believe your account has been compromised, contact us immediately at management@vibesls.com.

Children's Privacy

Our services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

Members under 18 must have a parent or guardian’s consent to participate in sessions and use the App.

Texas Privacy Rights

If you are a resident of Texas, you may have additional rights under the Texas Data Privacy and Security Act (TDPSA), including the right to:

  • Know what personal data we collect and how it is used.
  • Access a copy of your personal data.
  • Correct inaccurate personal data.
  • Request deletion of your personal data (subject to the exceptions in Section 7).
  • Opt out of the sale of your personal data (we do not sell personal data).
  • Appeal a denial of any of these rights.

To exercise these rights, contact us at management@vibesls.com. We will respond within 45 days, with a possible 45-day extension if needed, as permitted by law.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. If changes are material, we will notify active members via the App or by email. Your continued use of our services after any update constitutes acceptance of the revised policy.
